Learning Spaces is a team of A/V specialists that handle the entire project process, from design to installation to training and support. We can assist you with any of the following project types and are also happy to consult if you just need advice or information on something A/V related.

Project Phases
Initial Contact and Needs Analysis
After receiving your A/V Design Consultation request, a member of the Learning Spaces team will contact you about the information you submitted in the form. A time will be scheduled to meet with you to discuss your needs for the space, take measurements and pictures, and discuss the project budget.
Functional Specification
Based on the discussions held, Learning Spaces will create a document that describes how the space will function, where equipment will be installed, and what the estimated cost will be. This document will be submitted to the necessary stakeholders for approval. All work provided up to this point is free of charge.
Design Proposal
After the functionality has been agreed upon and the project budget established, Learning Spaces will begin to work on the full A/V system design. This includes providing architectural drawings showing exactly how and where items will be installed, providing wiring diagrams for the technicians to use, and accounting for all equipment and accessories that need to be purchased for the project to be completed successfully. The final Design Proposal will be provided to the stakeholders for approval, at which point the project will be funded. Design work is billable labor, even if the project is abandoned.
Procurement & Pre-Installation
Once the design proposal is approved, Learning Spaces will purchase all needed equipment using the provided cost/fund numbers. The Account Manager will need to approve requisitions as well as an eIDT for supplies to be used from Learning Spaces' stock inventory. LS also charges the estimated labor amount up-front so those funds can be encumbered.
At the same time, the pre-installation phase begins. Learning Spaces will begin to work with other departments at the university, such as Facilities or Network Operations, to get the space ready for installation. We will also begin the programming and user interface development, if applicable.
Installation, Training, and Close Out
Once the space is prepared and all the equipment has arrived. Learning Spaces will schedule an installation timeframe with the Client. During this time, it's important that the space is completely available for the installation crews and no events or technology usage are scheduled prior to final commissioning and sign-off by the Client.
As part of the installation, Learning Spaces will remove any old equipment and install the new equipment in the space. After everything has been installed, Learning Spaces will begin to stress test all of the equipment to ensure it works and is configured correctly. After everything has been tested, training will be scheduled (if desired) to help ensure that users of the space know how to use the equipment the way that they would like to use it. After any training has been conducted, the project is closed out by handing over any documentation and having the stakeholder sign the acceptance document.

External Integrator Partners
Need an A/V project done sooner than Learning Spaces can get to it? Here are some external companies that we work with. When going this route, Learning Spaces will often review proposals or guide the vendor in a preferred technology direction, but does not directly make decisions relating to the project. Learning Spaces does not directly support spaces installed by other entities, but will attempt to provide “best effort” support at a billable hourly rate as we do for any space on campus.
