Course Evaluations Reports
Course evaluation reports can be viewed by chairs, faculty, and CES Project Administrators.
Report Types
There are 6 main report types in Course Evaluations and Surveys:
-
Detailed Report – report showing full breakdown of student responses by question, including bar graphs. Any performance flags will display on this report.
-
Detailed Report + Comments – same as above, with any short answer questions displayed, as well. (This is the most complete report.)
-
Short Report – report showing total overall score averages for all questions in a more compact way.
-
Short Report + Comments – same as above, but also displays comments* (This is the Bang for your Buck report.)
-
Response Report –separates each individual student’s responses by page. Doesn’t provide student name, but you can see how a single student responded overall. Can provide insight on a single student’s overall feeling of the class, vs. the entire class’s overall feelings. If the student left comments, the comments will display along with their answer selections.
-
Raw Data – a spreadsheet with raw data for every response on the evaluation (pertaining to the user running it – for an instructor, they’d only see THEIR results, but for a report admin, they’d see their whole department).
NOTE: Results Feedback can be used by Report Administrators to provide feedback to instructors via the Course Evaluations and Surveys system. This is a decision at the department level as to whether or not each department would like to use this feature. There are other systems in place for this, as well, so it’s just an additional feature that is less likely to be used.
Report Terminology
Benchmarks:
Group Mean = the mean of all results from this particular form, this semester.
Department Mean = the mean of all results from all forms from this department, for this semester.
Each department will have one or the other, depending on how their respective hierarchies are structured.
For example:
-
Biology and Anthropology both have separate evaluations for Lecture and Lab; the course numbers and section numbers aren't distinguishable in Course Evaluations and Surveys, so they will have Department Means, because the system can't tell the difference between a Lecture and a Lab based on CRN. Department means indicate cross-form comparison.
-
Theatre and Dance has courses with different Course numbers (TH and DAN). As these are easily distinguishable, this department will have Group Means, which indicates single-form comparison, rather than cross-form comparison.
-
Departments with only one form will effectively have both Department and Group means, and these will be labeled "Group Mean," as this was the terminology in ePortfolio.
-
Departments with Group means could also be given Department Means, if it's a meaningful comparison, meaning the scales are all the same (1-5, Strongly Disagree - Strongly Agree), and the department wants comparison values. For example, Theatre and Dance could have both a Group Mean for Theatre, a Group Mean for Dance, and a Department Mean, if they were using the same questionnaire and/or the same scale in their questions.
-
Departments with multiple forms, which cannot be given Group means, and have dissimilar rating scales, will have neither Department nor Group means, as the comparisons would not be meaningful.
Ultimately:
-
"Group Mean" means I've only been compared with others evaluated using this exact same tool.
-
"Department Mean" means I'm being compared with others within my department, some of whom were not evaluated using the same tool.
Troubleshooting
I’m an instructor and a Report Admin, and I can’t get to my admin reports.
-
Check your role by clicking next to your name in the top right corner. If you’re unable to switch to your administrator role here, please let us know and we will investigate.
As an instructor, how can I verify that all of my classes received evaluations?
-
When evaluations open for your department, you can log into CES and look at the Response Rate Tracker to view a list of courses, and their current response rates. If you’re missing a class, let your Project Admin know right away – they can add courses to the existing evaluations all the way until the due date.
I’m an instructor generating a report and I don’t see one of my courses. What do I do?
-
Talk to your Project Administrator (usually an Admin Assistant in your department) and ask if you should be seeing that class.
-
It’s important to check and make sure you see all your classes in the Response Rate Tracker when evaluations open!
Response Rate Tracker
Use the Response Rate Tracker to view updated response statistics for courses.
You can access the response rates right from the Home screen in Course Evaluations and Surveys. From there, you can click the title of any project to drill down into available courses.
Each course will show separately on the Response Rate Tracker, and will show the total number of enrollments, number responded, percentage, and opt-out information.
Results Feedback
In Course Evaluations and Surveys, Administrators are able to provide feedback to instructors on a particular set of evaluation data. This information would be available to any administrator with access to the department. Instructors can also add feedback that would be visible to administrators, as well.
If your department wishes to use this feature, please contact us before you begin so we can make sure to discuss the potential problems and benefits of using this system. This will not replace any part of the various faculty review processes on campus and can only be used for supplemental feedback.
